01Introduction

Outbound Travelers (“we”, “us” or “our”) is a travel agency and travel consultancy based in India. We arrange holiday packages, flights, accommodation, transfers, visas, travel insurance and related travel services. This Privacy Policy explains what personal information we collect when you visit our website, contact us, or book travel with us, how we use it, who we share it with, and the rights you have over it.

By using our website or services, or by providing your information to us, you acknowledge that you have read and understood this Privacy Policy. If you are booking on behalf of other travellers, you confirm that you have their permission to share their personal information with us and that you have made them aware of this policy.

02Information We Collect

The amount and type of information we collect depends on how you interact with us. Booking travel necessarily requires more sensitive details than simply browsing our website.

Information you give us

  • Identity & contact details — name, date of birth, gender, postal address, email address and phone/WhatsApp number.
  • Travel documentation — passport number, passport expiry, nationality, visa details and, where a destination requires it, photographs and supporting documents for visa or immigration purposes.
  • Booking & travel preferences — destinations, travel dates, number of travellers, seating, room and meal preferences, frequent-flyer numbers and loyalty programme details.
  • Payment information — billing details and the information needed to process a payment (see the Payment Information section).
  • Sensitive information — where relevant to your trip, dietary requirements, medical conditions, mobility or accessibility needs and emergency-contact details. We only collect this where you provide it so that we can arrange suitable services, and we treat it with additional care.

Information we collect automatically

  • Device and usage data such as IP address, browser type, operating system, referring pages, the pages you view and the dates and times of your visits.
  • Information collected through cookies and similar technologies (see the Cookies section).

Information from third parties

  • Travel suppliers and partners (airlines, hotels, tour operators) who confirm or update your bookings.
  • Social media platforms and advertising networks when you interact with our pages or ads, subject to your settings on those platforms.
  • The person who makes a group or family booking on your behalf.

03How We Use Your Information

We use your personal information to:

  • Plan, quote, book, confirm and administer your travel arrangements and process your payments and refunds.
  • Pass the details required by airlines, hotels, transport providers, tour operators, insurers and visa/immigration authorities so that your trip can be delivered.
  • Communicate with you about enquiries, bookings, itinerary changes, travel advisories and important updates before and during your trip.
  • Provide customer support and respond to your questions, feedback and complaints.
  • Send you offers, newsletters and travel inspiration where you have chosen to receive them (see Marketing Communications).
  • Improve our website, services and customer experience, and carry out analytics and market research.
  • Comply with our legal, regulatory, accounting and tax obligations, and to detect and prevent fraud.

04How We Share Your Information

Travel cannot be arranged without sharing certain details with the suppliers who actually deliver your trip. We share your information only as far as is necessary, and we do not sell your personal information. We may disclose your information to:

  • Travel suppliers — airlines, hotels and resorts, cruise lines, ground-transport and transfer providers, tour operators, destination management companies and local guides.
  • Government and regulatory bodies — embassies, consulates, customs and immigration authorities for visa processing and entry requirements, where required by law or by the destination.
  • Insurers and assistance providers — to arrange travel insurance or provide emergency assistance.
  • Payment processors and banks — to take payment and issue refunds securely.
  • Service providers — IT, hosting, communications, CRM and professional advisers who act on our behalf under confidentiality obligations.
  • Authorities and others — where we are required to by law, court order or regulator, or to establish, exercise or defend legal claims, or in connection with a business transfer.
Once your information is shared with a travel supplier (for example an airline or hotel) to fulfil your booking, that supplier processes it under its own privacy policy. We encourage you to review the policies of the suppliers involved in your trip.

05International Data Transfers

Because outbound travel involves destinations outside India, delivering your trip requires us to transfer your information to suppliers and authorities in other countries. Data-protection laws in those countries may differ from those in India. Where we transfer your information internationally, we do so only to the extent necessary to provide the services you have requested and we take reasonable steps to ensure it is handled securely and in line with this policy.

06Payment Information

Payments are processed through reputable third-party payment gateways and banking partners. Card and banking details you enter to make a payment are handled by these payment processors over secure, encrypted connections. We do not store your full card number, CVV or other complete card details on our own systems. We may retain limited transaction records (such as amount, date and a reference) for accounting, refund and fraud-prevention purposes.

07Cookies & Tracking Technologies

A cookie is a small file placed on your device that helps a website remember your preferences and understand how it is used. We use cookies and similar technologies to:

  • Keep the site working correctly and remember your settings and search preferences.
  • Measure traffic and understand which pages and packages are popular so we can improve the site.
  • Where you consent, deliver and measure relevant advertising on our site and on other platforms.

You can accept or decline non-essential cookies through our cookie banner and manage cookies in your browser settings. Most browsers let you delete or block cookies, although doing so may affect how parts of the site work.

08Data Retention

We keep your personal information only for as long as we need it for the purposes set out in this policy — typically for the duration of your relationship with us and afterwards for as long as required to meet legal, accounting, tax and regulatory obligations or to resolve disputes and enforce our agreements. When information is no longer required, we securely delete or anonymise it.

09Data Security

We are committed to protecting your information and have put in place appropriate technical and organisational measures — including secure connections, access controls and staff confidentiality obligations — to guard against unauthorised access, disclosure, alteration or loss. While we take security seriously, no method of transmission over the internet or electronic storage is completely secure, so we cannot guarantee absolute security. Please keep any account or booking-reference details confidential.

10Your Rights & Choices

Subject to applicable law, you have the right to:

  • Access the personal information we hold about you.
  • Request correction of information that is inaccurate or incomplete.
  • Request deletion of your information where it is no longer needed and we are not required to keep it.
  • Withdraw consent (for example to marketing) at any time, and object to or restrict certain processing.
  • Nominate another person to exercise your rights in the event of death or incapacity, where the law provides for this.

To exercise any of these rights, contact us using the details in the Grievance Officer and Contact Us sections. We may need to verify your identity before acting on a request. Note that some information must be retained to fulfil a confirmed booking or to meet legal obligations.

11Marketing Communications

Where you have opted in, we may send you newsletters, travel deals and offers we think you'll find interesting by email, phone, WhatsApp or post. You can opt out at any time by using the unsubscribe link in our emails, replying to ask us to stop, or emailing hello@outboundtravelers.com. We will still send you essential service messages relating to your bookings.

12Children's Privacy

Our website and services are intended for adults. We do not knowingly collect personal information directly from children. Where a booking includes minors, their information is provided and managed by a parent or guardian who is responsible for it. If you believe a child has provided us information without appropriate consent, please contact us so we can remove it.

14Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, services or legal requirements. When we do, we will revise the “last updated” date at the top of this page. We encourage you to review this page periodically. Significant changes may be communicated to you directly where appropriate.
