01Introduction & Acceptance
These Terms & Conditions govern your use of the Outbound Travelers website and the travel services we provide. By browsing this website, requesting a quote, or making a booking with us, you agree to be bound by these terms. Please read them carefully before you book. If you do not accept them, please do not use our website or services.
When you make a booking you confirm that you are at least 18 years of age, have the authority to accept these terms, and accept them on behalf of everyone in your travelling party.
02Definitions
- “We”, “us”, “our” means Outbound Travelers, whose office is at 2nd Floor, Sri Sai Complex, Vepamoodu Junction, Nagercoil, Kanyakumari District, Tamil Nadu 629001, India.
- “You”, “your”, “traveller”, “client” means any person who browses this website, requests a quote or makes a booking with us, including everyone named on a booking.
- “Supplier” means the airlines, hotels, transport operators, tour operators, insurers and other third parties who provide the components of your trip.
- “Booking” means the travel arrangements you ask us to make and which we confirm to you.
03Our Role as a Travel Agent
Outbound Travelers acts as a travel agent and intermediary. We arrange and book travel services that are owned, operated and delivered by independent third-party Suppliers. Your contract for the actual travel services (flights, accommodation, transfers, tours and so on) is with those Suppliers and is subject to their own terms and conditions, which often include their own cancellation and refund rules.
04Bookings & Confirmation
A booking is only confirmed once we have received the required deposit or full payment and have issued you a written confirmation (by email or message). Quotes, itineraries and availability are subject to change until your booking is confirmed.
It is your responsibility to check that all details on your confirmation, tickets and vouchers — including names (which must match your passport exactly), dates, times and destinations — are correct, and to tell us immediately of any error. Some Suppliers do not permit name changes and may treat them as a cancellation and rebooking, which can incur charges.
05Prices, Taxes & Inclusions
Prices are quoted in the currency stated and are based on costs, exchange rates, taxes and fees applicable at the time of quoting. Until your booking is confirmed and paid, prices may change due to factors outside our control, such as currency fluctuations, fare or tariff changes, fuel surcharges and government taxes.
Unless expressly stated in your itinerary, prices do not include visas, travel insurance, tips, personal expenses, optional excursions, meals not specified, excess baggage, or any costs arising from delays or changes outside our control. Please review your itinerary carefully to understand exactly what is and is not included.
06Payment Terms
A deposit is usually required to confirm a booking, with the balance due by the date stated on your confirmation or invoice. For some services — particularly flights and special fares — full payment may be required at the time of booking.
If the balance is not received by the due date, we and/or the Suppliers may treat the booking as cancelled and apply the relevant cancellation charges. Payments are accepted through the methods shown at checkout or on your invoice and are processed securely by our payment partners.
07Cancellations & Refunds
Cancellation by you. If you need to cancel, you must notify us in writing as soon as possible. Cancellation charges depend on the rules of each Supplier and how close to departure you cancel; they can be significant and, in some cases, up to 100% of the cost. Any deposit and Supplier fees are generally non-refundable, and our service fees are non-refundable. We will tell you the applicable charges before processing a cancellation where possible.
Refunds. Where a refund is due, it will be calculated after deducting the cancellation charges of the relevant Suppliers and our service fees. Refunds are made to the original payment method and are processed once we receive the corresponding funds back from the Suppliers, which can take several weeks depending on their timelines.
Cancellation or changes by us or a Supplier. Occasionally a Supplier may cancel or change your arrangements. If a significant change is made before departure, we will inform you as soon as we can and pass on the options offered by the Supplier (such as an alternative, or a refund of amounts recoverable from the Supplier). Our liability in these situations is limited as set out in the Limitation of Liability and Force Majeure sections.
08Changes & Amendments to Bookings
If you wish to change a confirmed booking (for example dates, names or destinations), we will try to assist, but changes are subject to availability and the Suppliers' rules. Amendments may incur Supplier charges as well as our amendment fee, and any difference in price. We will confirm any charges to you before making a change.
09Passports, Visas & Travel Documents
It is your responsibility to hold a valid passport and to obtain all visas, permits and other travel documents required for your trip, including any transit countries. Many countries require a passport to be valid for at least six months beyond your travel dates and to have sufficient blank pages.
We can provide general guidance and assist with visa applications where that service is part of your booking, but requirements change and final entry decisions rest with the relevant authorities. We are not liable for any loss, denied boarding or denied entry resulting from incorrect, incomplete or missing travel documentation, or where you are refused entry by an immigration authority.
10Health, Vaccinations & Fitness to Travel
You are responsible for ensuring you meet the health and vaccination requirements of your destination and any transit points, and for consulting your doctor about your fitness to travel where appropriate. Please tell us at the time of booking about any medical condition, disability or mobility requirement so we can advise whether the arrangements are suitable, though we cannot guarantee a Supplier will be able to accommodate every request.
11Travel Insurance
We strongly recommend that every traveller takes out comprehensive travel insurance at the time of booking. Adequate cover should include, at a minimum, trip cancellation and curtailment, medical and emergency expenses, repatriation, and cover for baggage and personal belongings. It is your responsibility to ensure your insurance is adequate for your chosen activities and destinations. We are not responsible for losses that would have been covered by appropriate insurance.
12Your Responsibilities & Conduct
- Provide accurate, complete information for everyone in your party and keep us informed of any changes to your contact details.
- Arrive in good time for flights, transfers and other scheduled services, and comply with the rules and instructions of Suppliers and local authorities.
- Behave responsibly and respectfully towards other travellers, staff, property and local communities. Suppliers may refuse to carry or accommodate anyone whose conduct is unacceptable, without refund.
- Take responsibility for your personal belongings and travel documents throughout the trip.
13Third-Party Suppliers
The travel services that make up your trip are provided by independent Suppliers and are subject to their own terms and conditions, which may limit or exclude their liability to you in line with applicable international conventions. By making a booking, you accept those terms. We will make Supplier terms available to you on request where we hold them.
14Force Majeure
We will not be liable for any failure or delay in performing our obligations, or for any cancellation or change to your arrangements, caused by circumstances beyond our reasonable control. These include, without limitation, war or threat of war, civil unrest, terrorism, government action, border closures, epidemics or pandemics, natural disasters, extreme weather, fire, flood, strikes and other industrial disputes, technical or transport problems, and airport or airspace closures.
15Limitation of Liability
As a travel agent arranging services delivered by others, our liability to you is limited. To the fullest extent permitted by law:
- We are responsible for arranging your booking with reasonable care and skill, but we are not liable for the acts, omissions, defaults, negligence or insolvency of any Supplier.
- We are not liable for any indirect or consequential loss, or for losses that were not reasonably foreseeable, or that arise from your own breach of these terms, the rules of a Supplier or the law.
- Where we are found liable, our total liability will not exceed the value of the service fees we charged you for the booking concerned, except where liability cannot be excluded or limited by law (such as for death or personal injury caused by our negligence).
Nothing in these terms excludes or limits any liability that cannot lawfully be excluded or limited.
16Complaints & Dispute Resolution
If a problem arises during your trip, please tell the relevant Supplier (for example the hotel or transfer operator) at the time so it can be resolved on the spot, and contact us as soon as possible so we can help. If you remain dissatisfied, please put your complaint in writing to us within 28 days of returning home, giving your booking reference and full details, and we will work with you and the Suppliers towards a fair resolution.
17Intellectual Property
All content on this website — including text, design, layout, graphics, logos, images and itineraries — is owned by or licensed to Outbound Travelers and is protected by intellectual-property laws. You may view and print content for your personal, non-commercial use in connection with planning travel with us. You may not copy, reproduce, republish, distribute or exploit any content for commercial purposes without our prior written consent.
18Use of Our Website
The content of this website is provided for general information and is subject to change without notice. While we take care to keep information accurate and up to date, we do not warrant that it is complete, current or error-free, and your use of it is at your own risk. Prices, availability and itineraries shown are indicative until confirmed in your booking.
You agree not to misuse the website, attempt to gain unauthorised access to it, or use it for any unlawful purpose. We may include links to third-party websites for your convenience; we are not responsible for their content. You may not link to or frame this website without our prior written consent.
19Governing Law & Jurisdiction
These Terms & Conditions, and any dispute or claim arising out of or in connection with them, your use of this website or any booking, are governed by the laws of India. The courts at Nagercoil, Tamil Nadu, India shall have exclusive jurisdiction, subject to any mandatory consumer-protection rights you may have under applicable law.
